Extended clean-up of emails, appointments and messages during anonymisation and GDPR clean-up

Improved data removal for candidates within emails, appointments and messages. MSR-1081 | 2026-01

Introduction

Within Mysolution, candidates are increasingly linked indirectly to emails, appointments and messages, for example via CC fields, external invitees or WhatsApp conversations. During candidate anonymisation and GDPR clean-up, these indirect links were not yet fully removed.

From now on, these related records are also cleaned up correctly, ensuring that the processing of personal data fully complies with applicable privacy legislation.

Who is this feature relevant for?

This feature is relevant for:

  • Application administrators responsible for privacy and GDPR settings

  • Organisations that make extensive use of email, appointments, SMS and WhatsApp within MSR and Combi

  • Users working with candidate anonymisation or periodic GDPR clean-up processes

Feature explanation

Candidate anonymisation
When a candidate is anonymised, all relevant activities are now cleaned up:

Emails and tasks

  • Emails and related tasks directly linked to the candidate are fully removed

  • If the candidate is only linked via CC, BCC or tagging, only that relationship is removed

Appointments

  • Appointments directly linked to the candidate are removed

  • If the candidate is only linked as an external invitee, only that relationship is removed

Messages

  • All CM messages linked to the candidate are removed

  • All Mysolution WhatsApp conversations linked to the candidate are removed, including related messages

GDPR clean-up
During GDPR clean-up, the same logic is applied, depending on the configured GDPR Data Groups:

  • Clean-up of emails, tasks and appointments based on the selected settings

  • Removal of messages and conversations for candidates within the retention period

  • Support for clean-up based on candidate, employee and freelancer status

This ensures that personal data is removed consistently and in accordance with policy, even when it is indirectly linked to a candidate.

 

Set-up / Implementation Time

No additional configuration is required for this feature. The existing anonymisation and GDPR clean-up processes automatically use this improved clean-up logic.
