Extended configuration of appointment requests for WhatsApp and wizard

Introduction

Scheduling appointments has until now often required manual input or additional logic via flows. Especially when sending appointment requests via WhatsApp, the available options were limited.

With this extension, you can pre-define important settings in the Appointment Type setting. This ensures appointment requests are created more consistently and less manual input is required.

Feature explanation

The Appointment Type setting has been extended with additional configuration options, such as:

  • Calendar type (User Calendar or Team Calendar)
  • Organiser of the appointment
  • Team calendar to be used
  • Scheduling method (Available time or Reserved time)
  • Use for WhatsApp
  • Support for scheduling in 30-minute intervals

When these settings are filled in, they are automatically applied when creating an appointment request. In the wizard and in WhatsApp, these values are displayed and, if pre-defined, can no longer be edited.

The behaviour in WhatsApp has also been extended. Only appointment types suitable for WhatsApp are shown. Depending on the configuration, the correct calendar and scheduling method are automatically applied. When using a team calendar, scheduling is always based on reserved time and team locations are automatically populated based on the selected calendar.

Validations have also been added to prevent invalid combinations of settings.

 

Setup / Implementation time

Administrators need to add the new fields to the page layout of the Appointment Type setting object and assign the appropriate permissions.

To make appointment types available for WhatsApp, the field 'Use for WhatsApp' must be activated.

In addition, the interval value '30 minutes' must be added to the field for start times.

After configuration, the settings are automatically applied when creating appointment requests via the wizard, WhatsApp and flows.
